2. Privacy Policy

Data We Collect

Pura Vida Flow only collects necessary data to provide the services offered through the website. Depending on how you use the website, this may include your first and last name, email address, information submitted through a contact or gift card request form, as well as information required to book an appointment or subscribe to the newsletter.

Fitness Assessment and Health Data

As part of the coaching services, a “fitness assessment” questionnaire may collect health data. This data is processed on the basis of your explicit consent (Article 9.2.a of the GDPR) and is used solely to design and adapt your programme. It is processed exclusively by the coach, is not shared with her partners, and is not used for any marketing or promotional purposes. The questionnaire is hosted via Google LLC, acting as a technical service provider under a contract compliant with Article 28 of the GDPR and subject to the Data Privacy Framework.

Why Do We Use This Data?

• to respond to your enquiries;

• to process requests relating to services or gift cards;

• to arrange appointments;

• to send you the newsletter when you have given your consent;

• to ensure the security of the website and limit automated submissions;

• to measure website traffic and usage when you have consented to the relevant tracking technologies.

Services and Providers We Use

To operate the website and provide its services, Pura Vida Flow may use technical service providers including OVHcloud (hosting), WordPress and Fluent Forms (website and forms), Brevo (contact management and newsletter), Google Workspace (email and calendar), Google reCAPTCHA (anti-spam protection), Complianz (cookie consent management) and Google Analytics 4 (website analytics, subject to your consent).

These service providers act as data processors and are governed by contracts compliant with Article 28 of the GDPR.

Transfers Outside the European Union

Certain service providers (in particular Google services) may process data outside the European Union. Depending on the circumstances, such transfers are governed by the EU-U.S. Data Privacy Framework adequacy decision or by the European Commission’s Standard Contractual Clauses.

Data Retention

Data submitted through a contact request, gift card request or appointment booking is retained for a maximum of 12 months from the date of the last interaction, unless you request to delete it before that date.

When you become a Pura Vida Flow client, the necessary data to provide your services is retained for the duration of our relationship and thereafter only for as long as necessary to comply with legal obligations or to establish, exercise or defend Pura Vida Flow’s legal rights.

Data used to send the newsletter is retained until you unsubscribe or withdraw your consent.

For clarity: invoices and accounting records are retained for 10 years (legal obligation). Health data collected through the fitness assessment is retained for the duration of the coaching services and then deleted no later than 12 months after the last interaction, unless otherwise required by law.

Your Rights

In accordance with applicable data protection laws, depending on your circumstances, you may request access to your personal data, its correction or deletion, request that its processing be restricted, object to certain processing, or exercise your right to data portability. Where processing is based on your consent, you may withdraw that consent at any time.

You also have the right to provide instructions regarding the handling of your personal data after your death.
